Case Administrator (Legal Services/ Administrative Support)

Job Description:

As a Case Administrator, you’ll play a key role in assisting with the administration of cases, communicating with parties, attorneys, and mediators, and ensuring smooth case management processes. What You’ll Do

Case Management & Coordination

  • Manage a portfolio of arbitration and mediation cases, ensuring all processes run smoothly and efficiently.
  • Maintain active communication with clients, attorneys, mediators, and arbitrators through various channels (phone, email, video conference, etc.).
  • Schedule meetings, hearings, and conference calls, assisting with all logistical details.
  • Ensure compliance with applicable arbitration and mediation rules, billing policies, and fee structures.
  • Proactively identify issues in case management and work with leadership to find solutions.

Recordkeeping & Documentation

  • Update and maintain case records in our online system (PRISM), ensuring accuracy and confidentiality at all times.
  • Prepare and send electronic and written communications to all parties involved, keeping them informed and updated.
  • Adhere to AAA’s information security and data privacy policies, safeguarding sensitive case information.

Client & Panelist Support

  • Respond to inquiries from clients and panelists with professionalism and courtesy.
  • Educate clients on arbitration and mediation procedures, assisting with the understanding of the process.
  • Advise arbitrators and mediators on procedural issues and case management matters.

What We’re Looking For

Required Skills and Experience

  • Associate’s degree in business or a related field; or three years of experience in customer service, case administration, or a legal environment (or equivalent combination).
  • Strong written and verbal communication skills with the ability to interact effectively with diverse stakeholders.
  • Experience with Microsoft Office Suite, especially Excel (pivot tables, formulas), Outlook, and web-based case management systems.
  • Ability to adapt quickly to new technologies, including AI-related tools.
  • Proficiency in reading and interpreting legal documents and business correspondence.
  • Excellent organizational skills and attention to detail to manage large datasets and case records.

Preferred Skills

  • Experience in a legal or ADR (Alternative Dispute Resolution) environment.
  • Ability to maintain professionalism in high-pressure situations, demonstrating a calm and problem-solving approach.
